4. Vendor and Sponsor Applications
- Submitting an application does not guarantee acceptance or participation.
- Hi Fit Expo may approve, deny, waitlist, or request changes to an application based on event capacity, category balance, safety, operational considerations, event standards, or other legitimate event needs.
- Applicants are responsible for providing accurate and complete information.
- Vendors and sponsors are responsible for maintaining any permits, licenses, insurance, approvals, or other documentation required for their participation.
- Approved participants may be subject to additional requirements, including onboarding instructions, load-in procedures, booth rules, safety requirements, venue policies, deadlines, and operational guidelines.
5. Event Rules and Conduct
- Attendees, vendors, sponsors, participants, and guests agree to comply with applicable event rules, venue policies, safety requirements, and reasonable instructions from event personnel.
- Hi Fit Expo may remove or restrict participation by any person or organization engaging in unsafe conduct, harassment, illegal activity, fraud, material disruption, or serious policy violations.
- You are responsible for your own property and personal belongings while attending or participating in the event.
6. Schedule Changes, Cancellation, and Force Majeure
Event details may change due to operational needs, venue requirements, safety concerns, weather, scheduling changes, or circumstances outside our reasonable control.
- We may adjust schedules, programming, floor plans, booth placement, activities, operational requirements, or event policies when reasonably necessary.
- If an event is postponed, rescheduled, materially modified, or cancelled, applicable refund, credit, transfer, or other options will be handled according to the Refund Policy and any terms applicable to the specific purchase.
7. Refunds
Refunds, cancellations, credits, and related requests are governed by our Refund Policy. If there is a conflict between these Terms and the Refund Policy regarding a refund-related matter, the Refund Policy controls.
8. Photography, Video, and Media
Hi Fit Expo may photograph, film, livestream, or otherwise document public areas, activities, competitions, and programming during the event.
- Event photography and video may be used for event documentation, editorial coverage, social media, and promotional materials.
- Additional releases or permissions may be requested where appropriate, including for featured participants, interviews, promotional productions, or minors.
- If you have a concern regarding photography or recording at the event, please contact Hi Fit Expo or speak with event staff.
9. Intellectual Property
- Site content, branding, graphics, photographs, written materials, and other content are owned by Hi Fit Expo or used with permission, unless otherwise stated.
- You may not reproduce, republish, distribute, modify, or commercially use Hi Fit Expo content without appropriate permission.
- Vendors, sponsors, partners, and other third parties retain ownership of their respective trademarks, logos, and materials.
10. Third-Party Links, Platforms, and Services
hifitexpo.com may link to or integrate with third-party services, including payment processors, ticketing providers, registration platforms, maps, social media services, and other external websites.
- Third-party services may have their own terms, policies, fees, refund rules, and privacy practices.
- Hi Fit Expo is not responsible for the content, availability, security practices, or policies of independent third-party services.
11. Competition and Activity Participation
Certain competitions, demonstrations, classes, challenges, or activities appearing at Hi Fit Expo may be operated by independent promoters, organizations, instructors, federations, clubs, or partners.
- Participants are responsible for reviewing and complying with any rules, eligibility requirements, waivers, membership requirements, registration terms, or safety instructions established by the applicable organizer.
- Registration with an independent competition or activity organizer may be governed by that organizer’s separate terms and policies.
12. Health and Safety
Fitness, sport, competition, demonstration, and physical activity may involve inherent risks. Participants are responsible for determining whether they are physically capable of safely participating in an activity.
Additional waivers, releases, safety requirements, or participation agreements may apply to specific competitions, activities, or experiences.
